Development and Functional Validation of a Quick Response Code-Based Archive Search and Tracking System for Digital Archive Management

Digital archive management requires rapid retrieval, visible archive status and location, controlled access, and traceable workflow decisions. Previous document-tracking studies have used code-based identifiers, but transparent functional validation of integrated archive workflows remains limited. This study developed and functionally validated a Quick Response Code-based archive search and tracking system for BPS Kota Cirebon. An applied software-development design with iterative prototyping was used. Thirty requirements-based black-box cases were executed on 24-25 July 2026 using synthetic records, one administrator account, one regular-user account, a Windows computer, and an Android device on the same local network. The initial test produced 24 passes and six failures involving attachment storage, approval processing, mobile code access, notifications, audit logging, and PDF export. After targeted corrections, all six cases passed on retest, yielding 30 final passes and a 100.0% defect-resolution rate. The study contributes a traceable functional-validation approach that connects identified defects, corrective actions, and retest evidence across integrated archive workflows. The tested build met all specified functional scenarios, while actual gains in retrieval time and employee workload require field evaluation.
